Most canned response libraries fail for the same reason: they are written to be complete rather than to be sent. The templates below are short on purpose, because a saved reply only works if there is room to add the one detail that makes it feel written for the person reading it.
The four rules that stop replies sounding scripted
- Mirror their words. If a customer writes "the app keeps logging me out", your reply should say "logging out", not "authentication persistence issue".
- One specific detail per reply. Reference their order number, their plan, the thing they actually said. One is enough.
- Never apologise twice. Two apologies in one message reads as a script, not sincerity.
- Cut the throat-clearing. "Thank you for reaching out to us regarding your recent enquiry" says nothing. Start at the answer.
First reply and acknowledgement (6)
- Thanks [Name] — I can see what is happening here. Give me [timeframe] to check and I will come back with an answer.
- Got it. Before I dig in, can you tell me [one specific question]?
- That should not be happening. I am looking at your account now.
- Good catch — this looks like a bug on our side rather than anything you did.
- I have picked this up and it is with me until it is fixed.
- Quick note so you are not left waiting: I am still on this, and I will update you by [time] either way.
Troubleshooting and information requests (6)
- Could you send a screenshot of what you are seeing? That will tell me a lot faster than guessing.
- Two quick things that will help me narrow this down: [question 1] and [question 2].
- Can you try [specific step] and tell me whether anything changes?
- What browser and version are you on? This one is usually browser-specific.
- Does it happen every time, or only when you [specific action]?
- I have not been able to reproduce it on my side yet, which usually means it is tied to something in your setup. Can we do a quick call?
Explaining a fix or a workaround (6)
- Fixed. The cause was [cause]. You should see it working now — can you confirm?
- Here is the fix: [steps]. It takes about [time].
- There is a workaround while we fix the root cause: [workaround]. Not ideal, but it will keep you moving.
- This is on our roadmap and I have added your name to the ticket, so you will hear from us when it ships.
- Short version: [one-line answer]. Longer version if you want it: [detail].
- You were right that [their theory] was involved — it turned out to be [actual cause].
Delays and escalation (5)
- This needs our [team] to look at it. I have escalated it and you should hear back within [timeframe].
- I do not have an answer yet and I did not want to leave you guessing. Still working on it.
- This is taking longer than I told you it would. Sorry — new estimate is [time].
- I am handing this to [Name] who knows this area better than I do. They have the full history.
- Flagging honestly: this one is complex and may take a few days. I will update you every [interval] regardless.
Billing and account (6)
- I have checked your billing history — the charge on [date] was for [reason].
- Refund issued for [amount]. It usually lands within [timeframe] depending on your bank.
- I have cancelled your subscription. You keep access until [date], and you will not be charged again.
- I have applied a credit of [amount] to your account for the trouble.
- Your plan has been updated to [plan]. The change takes effect [when].
- Your card was declined by the bank rather than by us. Updating the card here usually fixes it: [link].
Complaints and difficult conversations (6)
- You are right to be frustrated. Here is what went wrong and what I am doing about it: [explanation and action].
- I am sorry — that was our mistake, not yours.
- I cannot undo what happened, but I can do [concrete action]. Would that help?
- I want to be straight with you: we cannot do [request]. What I can do is [alternative].
- Thank you for telling us. I have passed this to the team that owns it, and I mean that literally — here is the ticket: [reference].
- I understand if you want to move on. If you do, here is how to export your data: [link]. No hard feelings.
Closing (5)
- Glad that sorted it. I will close this out, but reply any time if it comes back.

Making these usable day to day
Forty templates is more than anyone can remember. The trick is the shortcut naming, not the library size. Group by prefix so related replies cluster together when you start typing:
/ack,/ackbug,/ackdelay— acknowledgements/bill,/billrefund,/billcancel— billing/esc,/escteam— escalations
